Terms of Use

Last updated 20 August 2026

1. Who these terms are for

These Terms of Use ("Terms") govern access to and use of PlumbGrade, a software platform for gas, plumbing and heating engineers and businesses to manage inspections, CP12 Gas Safety Certificates, customers, quotes and related reports (the "Service"), provided by [INSERT LEGAL ENTITY NAME], a company registered in England and Wales under company number [INSERT COMPANY NUMBER], with its registered office at [INSERT REGISTERED ADDRESS] ("PlumbGrade", "we", "us" or "our").

These Terms apply to the business or sole trader that registers an account with PlumbGrade (the "Customer", "you" or "your") and to every user that Customer authorises to access the Service under its account. By creating an account, starting a free trial, or otherwise using the Service, you confirm you have the authority to bind the Customer to these Terms and that the Customer accepts them.

Homeowners, landlords, letting agents and other end customers of a PlumbGrade business do not hold an account with us and are not a party to these Terms — their relationship is with the business that carried out their inspection, quote or gas safety check.

2. The Service

PlumbGrade is a workflow and record-keeping tool. It helps the Customer schedule jobs, complete digital checklists, capture photos and signatures, generate branded PDF reports and CP12 certificates, manage a customer directory, and build and send priced quotes.

We may add, change or remove features of the Service from time to time, and may release new features as beta or early-access functionality that is provided "as is" and may change or be withdrawn without notice.

3. Accounts and eligibility

You must provide accurate registration information and keep it up to date. You are responsible for maintaining the confidentiality of login credentials for every user on your account, and for all activity that occurs under it.

You must notify us promptly at hello@plumbgrade.co.uk if you become aware of any unauthorised access to your account.

The Service is intended for use by businesses and sole traders operating in the gas, plumbing and heating trade, not for personal or consumer use.

4. Subscriptions, fees and billing

The Service is provided on a subscription basis, at the plan and price shown at checkout or in your account settings. Prices are shown exclusive of VAT unless stated otherwise; VAT is added where applicable.

New accounts may start with a free trial period, as described at sign-up. A valid payment card is required to start a trial; unless you cancel before the trial ends, your subscription will automatically continue and the first charge will be taken at the end of the trial period.

Subscription fees are billed in advance on a recurring basis (monthly, unless otherwise agreed) via our payment processor, Stripe. By subscribing you authorise us to charge your payment method automatically each billing period until you cancel.

You can change or cancel your plan at any time from Company Settings within the Service. Cancellation takes effect at the end of the current billing period; we do not provide refunds or credits for partial billing periods, except where required by law.

We may change subscription prices from time to time. We will give you reasonable advance notice of any price increase that affects your then-current plan before it takes effect.

If a payment fails and is not resolved within a reasonable period, we may suspend or limit access to the Service until payment is received.

5. Acceptable use

You agree not to, and not to permit any user of your account to:

  • use the Service for any unlawful purpose, or in a way that infringes the rights of any third party;
  • attempt to gain unauthorised access to the Service, other accounts, or the systems or networks connected to the Service;
  • reverse engineer, decompile or attempt to extract the source code of the Service, except to the extent this restriction is prohibited by law;
  • use the Service to store or transmit any content that is unlawful, defamatory, or that infringes another person’s intellectual property or privacy rights;
  • interfere with or disrupt the integrity or performance of the Service, or introduce any virus, malware or other harmful code;
  • resell, sublicense or otherwise make the Service available to any third party outside of your own organisation without our prior written consent.

6. Customer content and data

You retain ownership of all data you input into the Service, including customer records, inspection results, photographs, signatures, quotes and reports ("Customer Content").

You grant us a licence to host, store, process and display Customer Content solely as necessary to provide and support the Service to you.

You are responsible for the accuracy, quality and legality of Customer Content, and for having all rights and consents necessary for it to be processed through the Service — including any consents required from homeowners or other individuals whose personal data you record.

Our handling of personal data as a processor and controller is described in our Privacy Policy, which forms part of these Terms.

You can export or delete Customer Content from within the Service. On termination of your account, we will retain Customer Content for a reasonable period to allow export, after which it may be deleted in accordance with our data retention practices.

7. Professional responsibility and compliance

PlumbGrade is a software tool that helps you record and report on work you carry out — it does not perform inspections, does not verify the qualifications, registration or competence of any engineer using the Service, and is not a party to any inspection, gas safety check or quote produced through it.

You are solely responsible for ensuring that every inspection, CP12 Gas Safety Certificate, report and quote produced using the Service is accurate, is carried out by a suitably qualified and, where legally required, Gas Safe registered engineer, and complies with all applicable laws and regulations, including (without limitation) the Gas Safety (Installation and Use) Regulations 1998.

A CP12 certificate or report generated through the Service is only as accurate and compliant as the information entered by the engineer who carried out the work — PlumbGrade does not check, validate or certify the substance of that work.

Nothing in these Terms, and no feature of the Service, should be relied on as a substitute for your own professional judgement or for independent legal or regulatory advice.

8. Intellectual property

We and our licensors own all right, title and interest in and to the Service, including its software, design, branding and documentation, excluding Customer Content. Nothing in these Terms transfers any of that ownership to you.

We grant you a non-exclusive, non-transferable licence to access and use the Service during your subscription, solely for your own internal business purposes and subject to these Terms.

9. Third-party services

The Service relies on third-party infrastructure and service providers, including Stripe for payment processing, and other providers for hosting, database, storage and email delivery. Your use of the Service is also subject to the applicable terms of those providers where you interact with them directly (for example, entering payment details with Stripe).

We are not responsible for the availability, acts or omissions of third-party providers, except to the extent caused by our own breach of these Terms.

10. Availability and support

We aim to keep the Service available at all times but do not guarantee uninterrupted or error-free operation. We may suspend access for scheduled maintenance or emergency reasons, and will aim to give reasonable notice of any planned downtime where practical.

Support is available by email at hello@plumbgrade.co.uk; response times may vary by plan as described on our pricing page.

11. Warranties and disclaimers

The Service is provided "as is" and "as available". To the fullest extent permitted by law, we exclude all warranties, conditions and representations, whether express or implied, including any implied warranty of satisfactory quality, fitness for a particular purpose, or non-infringement.

12. Limitation of liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be limited or excluded.

Subject to the paragraph above, our total liability to you arising out of or in connection with these Terms or the Service, whether in contract, tort (including negligence) or otherwise, is limited to the total subscription fees paid by you in the 12 months immediately before the event giving rise to the claim.

Subject to the first paragraph above, we are not liable for any indirect or consequential loss, or for any loss of profits, revenue, business, contracts, anticipated savings, or data, arising out of or in connection with these Terms or the Service.

You acknowledge that we are not liable for the accuracy, completeness or regulatory compliance of any inspection, certificate, report or quote produced by you using the Service — see the Professional Responsibility section above.

13. Indemnity

You agree to indemnify and hold us harmless against any claims, losses, liabilities and reasonable costs (including legal fees) arising from your breach of these Terms, your misuse of the Service, or Customer Content you input into the Service.

14. Termination

You may cancel your subscription at any time from Company Settings; cancellation takes effect at the end of the current billing period, as described in the Subscriptions section above.

We may suspend or terminate your access to the Service, with reasonable notice where practical, if you materially breach these Terms and fail to remedy that breach within a reasonable period of being notified, or immediately if required to prevent harm to the Service, other users, or to comply with the law.

On termination, your right to access the Service ends; the Customer Content retention provisions in the Customer Content and Data section above continue to apply.

15. Changes to these terms

We may update these Terms from time to time, for example to reflect changes to the Service or to applicable law. Where changes are material, we will give reasonable advance notice, such as by email or an in-app notice, before they take effect. Continued use of the Service after a change takes effect constitutes acceptance of the updated Terms.

16. Governing law and jurisdiction

These Terms, and any dispute or claim arising out of or in connection with them or the Service, are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any such dispute or claim, subject to any mandatory consumer protection rules that may apply.

17. General

If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full force and effect.

These Terms, together with our Privacy Policy, constitute the entire agreement between you and us regarding the Service and supersede any prior agreements on the same subject.

You may not assign or transfer your rights under these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition or sale of assets.

A failure by us to enforce any provision of these Terms is not a waiver of our right to do so later.
